 The Hawaii Okinawa Center’s Legacy Ballroom is now accepting reservations to host Structured Static Events, Non-Static Events and Indoor Events following the guidelines as set forth by the Tier 5 COVID-19 Reopening Strategy Guidelines 

Recently, you may have heard that events on Oahu can now have larger capacities, with different restrictions. If you are seeking to host an event, we highly encourage you to make your booking now, as the new rules may encourage events that weren’t previously allowed under older rules. If you have an existing booking, please read below and think about how your event might change.

At A Catered Experience, we can now offer you two different ways to host your event at the Hawaii Okinawa Center – Legacy Ballrooms:

*NEW* Non-Static Indoor Events

This is the newly allowed type of event on Oahu. Examples of these events are concerts, meetings, conventions, and parties. In these types of events, people may intermingle with each other, and consume food or alcohol, within certain constraints. These events have very clear restrictions. Just a few of these restrictions include:

  • Vaccinations. ALL attendees of the event must provide proof of being fully vaccinated at the time of entry. If the attendees cannot provide such proof, they can provide proof of a negative COVID-19 test result that was taken within 48 hours prior to the entry into the event. Because the City & County of Honolulu requires that ALL attendees at this type of event show proof of vaccination, those persons who are unable to receive the vaccine (children under the age of 12, those with certain health or religious restrictions, etc.) must take a COVID-19 test as stated. These restriction make it difficult for parties where a large number of youth may attend, but it may be good for expos, conventions and concerts.
  • Capacity Limitations. Room capacity will be limited to 50% of the stated capacity of the room
  • Submission of an Event Mitigation Plan. If there are more than 200 people at the event – including all working staff – the event organizer is responsible to complete the City’s COVID-19 Event Mitigation Plan. Please refer to the plan. It must be submitted no less than 10 calendar days prior to the event, and must be approved by the City prior to the start of the event. Our ACE staff can provide certain information to you so that you have all the information to complete the Plan and submit it in a timely manner. Note that if your event is denied, our standard cancellation policies will apply.
  • Use of face masks. Face masks are required for all attendees and must be used when not eating or drinking. Face masks are also required for all employees and staff.
  • Collection of contact tracing information. Data for ALL attendees must be collected, not only one person per party. 
  • Acquaint yourself with all of the rules. Complete rules, as determined by the City & County of Honolulu, can be found here under Section 34 (“Social Establishment”) and Section 35 (“Indoor Events”).

Static Events

We have been booking these types of events for a few weeks now. These events are where attendees reserve a seat, attend the seated event, then leave. Some examples of these kinds of events could be educational seminars, business meetings, graduation ceremonies, and seated celebration of life. The restrictions on these types of events include:

  • Capacity and Spacing Restrictions. Attendees are seated in groups of up to 25 (indoors) people. Each group of people must be spaced at least 6 feet apart from the other groups. Attendees are prohibited from intermingling with each other.
  • No vaccination or testing requirements. Because this type of event has low inter-acitvity between people, the City does not currently have a requirement for vaccination or COVID-19 tests.
  • Use of face masks. Face masks are required for all attendees and must be used when not eating or drinking. Face masks are also required for all employees and staff.
  • Collection of contact tracing information. Data for ALL attendees must be collected, not only one person per party.

    Depending on the size of your event, additional attendants may be needed to serve food and manage tables. In this case, a fee of $120.00 per attendant plus the 17.5% service fee and 4.712% tax will be applied.

    Ballroom and Event Venue on Oahu

    For larger events needing that perfect touch, there’s no better place than the Legacy Ballroom. It’s the ideal setting for banquets, wedding receptions, conferences and luaus. With a seating capacity of up to 800 (without social distancing), the Ballroom can be divided into the Legacy I and Legacy II Ballrooms for smaller parties. It features a theatre stage (with professional lighting and large, retractable screen available at extra cost).

    The tranquil Takakura Okinawan Garden, located just outside the Ballroom, provides the perfect backdrop for any event and is a popular setting for weddings and group photos.

    Located in Waipio Gentry at the Hawaii Okinawa Center, the Legacy Ballroom is our premier banquet venue. It is especially convenient to the Leeward and Central Oahu areas, and is readily accessible via freeway from Honolulu.

    A Catered Experience is the exclusive caterer for events at the Hawaii Okinawa Center in Waipahu.

    Ballroom Services and Policies

    Professional staffing

    A Banquet Captain, Wait Staff and Buffet Attendant are provided for all catered events at the Legacy Ballroom. Additional staff may be required for carving stations (at extra cost).

    Parking

    Free guest parking is available at the Hawaii Okinawa Center, with 126 regular parking spots and 6 for handicapped drivers.

    Audiovisual

    The Ballroom does not provide projectors or specialized sound equipment. However, we can provide a podium with a microphone that feeds into the main house speakers.

    The Legacy and Legacy I Ballrooms offer a 11’ x 14’ retractable screen that can be rented for $25.00 (plus service fee and tax). The Legacy II Ballroom has a portable screen (approximately 6ʹ x 6ʹ) available at no additional fee.

    Liquor and Bar Services

    A Catered Experience does not handle liquor, but you may hire bartenders on your own. We currently recommend Aloha on the Rocks.
